Under the general supervision of the Branch Administrative Manager and Branch Administrative Supervisor, the Branch Operation Assistant answers incoming calls to the branch via a multi-line switchboard as well as receives clients, vendors and prospects, during normal business hours. This highly visible position requires a polished professional with superior, communication, customer service and organizational skills. 

As a Branch Operations Assistant, you will:

  • Greet and direct incoming clients, visitors, and business associates in a helpful, professional, and pleasant manner; providing information, directions or assistance as needed.
  • Answer phone calls coming into the branch through a switchboard and routes calls to their appropriate destination.
  • Plan, coordinate and arrange for vendor luncheons, client meetings, etc. Set up conference calls.
  • Ensure the proper delivery of all delivered items received at the switchboard/reception desks.
  • Sort, process and route incoming and outgoing mail.
  • Perform miscellaneous clerical functions, such as mailings, and assisting with projects for departments as needed. May include word processing.
  • Copy, fax, and file various materials as needed.
  • Order office supplies and calls in repair requests for copier, printers, and fax machines.
  • Schedule/monitor the use of conference rooms for financial advisors and other internal associates.
  • Maintain a clean and presentable area in which to greet clients, both internal and external.
  • Perform daily deposit of checks received into the branch by mail, overnight delivery or delivered directly by the client, ensuring accuracy and safe-handling.
  • Assist with meeting and event execution, accommodating needs of the meeting organizer and/or attendees. Work with other members of the Hospitality team to properly service meetings and events and the guests associated with them.
  • Perform other duties as assigned.

As part of this role, the Branch Operations Assistant may provide client service support to financial advisors/financial advisory teams (within the Waukesha branch or provide remote support for other branches) when their client support is unavailable. In that function, you will:

Client Service

  • Be responsible for the client service of one or more Financial Advisors following a wealth management or portfolio management business approach, including any operational functions necessary to meet client service requirements
  • Responsible for client onboarding coordination, which includes, assisting with proposal generation, preparing new account paperwork, opening accounts, and transitioning new assets to Baird
  • Partner with Baird’s Corporate Resource Groups and be knowledgeable of the services they are able to provide financial advisors, client assistants, and clients providing the best outcome for clients and the firm.
  • Answers all incoming financial advisors' phone calls and handles as appropriate.  Initiates action and advises financial advisor of action taken. 
  • May schedule client appointments and/or conference room for appointments.
  • Stay current and understand firm policy and procedures in an ever changing regulatory environment, being able to articulate the reason for certain requirements to clients as needed.
  • Communicate progress updates to clients, as needed, on more complex projects.


  • Initiates and completes all transactions required to fully service client accounts i.e. paperwork, correspondence, client request fulfillment and special projects as needed
  • Ensures compliance with Baird’s policies regarding correspondence, books and records requirements including trade policies, seminars, and marketing.
  • May enter security orders including stocks, bonds, fixed income, options, annuities and other investment vehicle orders per financial advisors’ instructions or upon client’s verbal direction (if licensed to do so).
  • Maintain primarily electronic files and ability to retrieve the information quickly as needed.​

What we look for:

  • High school diploma required; Bachelor’s degree or industry experience comparable to Bachelor’s degree preferred.
  • Prior switchboard/receptionist experience preferred.
  • Minimum of 1 or 2 years’ previous customer service or administrative experience; preferably in the financial services industry.
  • Ability to work full-time in the branch office.
  • Excellent verbal and written communication skills (including e-mail); ability to adeptly exchange ideas and information. 
  • Ability to work independently with minimal supervision; ability to be flexible.
  • Ability to handle clients professionally and manage challenging situations.
  • Working knowledge of Microsoft Office; Word, Excel, Outlook.
  • Good organizational skills with the ability to prioritize, monitor, and complete multiple tasks, either independently or with a team.
  • Emotional Intelligence - Able to communicate with respect using appropriate language and voice volume in all situations.
  • Good interpersonal skills -- ability to effectively and proactively work with both external and internal clients and relate with others in order to accomplish work responsibilities and objectives. Willing and able to research and provide an answer or feedback within 24 hours of initial contact.
  • Detail oriented with an emphasis on accuracy. Critical thinking and proactive problem solving skills.
  • Good analytical skills with ability to perform semi-advanced math.
  • Preferably able to obtain SIE and Series 7/66 licensure within 12 months of employment
