Administrative Assistant Supervisor - Global Investment Banking
Baird Global Investment Banking (GIB) is seeking a strategic, efficient, and organized self-starter to supervise our growing professional support team. The ideal candidate will be a proven people leader and cross-functional collaborator with strong business acumen and acute system's knowledge. The team is comprised of the Administrative Resource Center (ARC) and Administrative/Executive Assistants (AA/EAs) from varying sectors across GIB. You will oversee the team responsible for the day-to-day organization and prioritization of our bankers!
As an Administrative Assistant Supervisor, you will:
Work closely with Administrative Operations Manager organizing and collaborating on support staff growth initiatives
Oversee daily duties of the ARC, Administrative Assistant III and EA support team to ensure that quality standards are being met and proper procedures are being followed as well as maintaining team engagement and business development
Manage administrative responsibilities, coordinate work assignments and schedules, including time off approval, PTO coverage, weekly meeting agendas, and resource maintenance
Partner with Manager on team expansion needs, interview plans, onboarding, training new hires
Explain and enforce work procedures and policies
Conduct monthly 1x1 mentoring and coaching meetings with administrative staff
Partner with Manager to perform Assistant’s evaluations and performance expectations through Mid-Year / Year-End performance review process
Work closely with mid-level / junior bankers on daily priorities and needs
Prepare and manage reports, correspondence and other documents using a database or word processing
Collaborate with Assistants to manage their sector team large-scale meetings and events
Act as a point of contact and liaison between vendors, business support partners and support team; creating a positive workflow within the department

What we look for:
5+ years of experience as an executive assistant or similar role with significant transferable skills; ideally within the financial industry
2+ years of experience in people leadership role
Flexible, self-starter and problem solver with the ability to prioritize and handle multiple tasks and projects indirectly while escalating appropriately
Ability to build relationships across multiple business and/or business partners
Strategic and analytic thinker with a drive toward execution and delivering results
Strong team player; proven effectiveness in an energetic, demanding, client-driven environment
Ability to organize and prioritize workflows
Exceptional written and verbal communication skills
Ability to operate with the utmost discretion
Advanced proficiency MS Office Suite (Excel, PowerPoint), Salesforce, Engage, SharePoint, Concur
Proficient using technology collaboration tools Team, Zoom, WebEx
