The Trust Operations manager leads the team of trust operations professionals in providing operations support to Baird Trust by ensuring accurate recording and balancing of transactions to fiduciary accounts.  Responsible for record keeping for special assets, overseeing processing of income and expense items, and overseeing responsibilities of trust operations employees.

As the Manager of Trust Operations, you will be responsible for:

  • Leading the trust company operations team with an ability to provide coaching, feedback, and training related to operation functions.
  • Liaison with trust accounting system vendor for day-to-day operations.
  • Oversight of all operations functions.
  • Oversight of statement processing, relationship fees, asset valuations, reconciliation with the trust accounting system and processing of income and expense items.
  • Managing record keeping for special assets including, but not limited to, real estate, oil and gas royalties, limited partnerships, notes/mortgages, and savings bonds. 
  • Overseeing annual real estate and oil and gas reviews with outside vendors and trust associates.
  • Managing and oversee asset maintenance and enhancements of the trust accounting system.
  • Coordinating with Trust Tax Specialist on the filing of 1098s and 1099-MISC.
  • Overseeing processing with vendors of monthly statements, statement messages, and statement inserts.
  • Overseeing check and trade advice printing and distribution.
  • Overseeing receipt and distribution of mail, including the logging of checks received and deposit to our DDA.
  • Overseeing fee processing including fee schedules and processing, new account set-up, and relationship fee support.
  • Coordinating optical system maintenance between custodian and outside vendor as well as changes to optical system processing.
  • Preparing monthly transfers between house accounts and request monthly distribution of Trust Company income to firm’s operating account.
  • Coordinating year-end processing schedule with custodian and tax vendors.
  • Participating in gathering information for audit requests.
  • Overseeing client name and address change letter processing.
  • Overseeing daily operational processing including researching reconciliation items between trust accounting system and demand deposit accounts, posting of received items, deposit of checks received to the demand deposit account.
  • Overseeing and help coordinate class action filings, receipt of settlement funds and payments to clients.
  • Overseeing processing of escheated funds with outside vendor.
  • Preparing and/or oversee the preparation of desktop procedures for operations functions.
  • Overseeing off-site storage of original documents, closed account paperwork, trade tickets and reports and miscellaneous departmental paperwork.

What we look for:

  • Knowledge of the Uniform Principal Income Act
  • Technology including FIS, Beta, Microsoft Office Suite
  • 4 year degree in accounting or finance
  • 8-10 years of Trust Operations - An equivalent combination of education and experience may be considered. 

Licenses/Certifications:

Series 7 preferred or the ability to obtain within 6 months
