We are seeking a detail-oriented, organized professional to provide administrative support for the Legal Department.

As a Legal Assistant, you will:
  • Provide phone support for several attorneys while being helpful, courteous and professional to all callers. Requires knowledge of the Legal Department functions as well as various other departments at Baird.
  • Perform advanced word processing, spreadsheets and other computer applications of a highly confidential nature.
  • Be responsible for submitting expense reports and booking travel arrangements for the Legal Department.
  • Schedule Board and Executive Committee meetings, prepares and delivers meeting books.
  • Schedule Investment Advisory Oversight Committee meetings, gathers reports, prepares and delivers meeting materials.
  • Assist in managing calendars and scheduling meetings.
  • Monitor and maintains office supplies for the Legal Department.
  • Process vendor invoices for the Legal Department.
  • Assist with subpoena requests, scanning and uploading of documents in CSC Matter Management or SharePoint.
  • Work independently on various legal projects, works as a team with Senior Legal Assistant and Paralegals, backing up and assisting as needed.
  • Perform additional administrative duties as assigned.

What we look for:
  • 2-5 years of legal assistant or financial industry experience required.
  • Associates or higher degree required.
  • Advanced PC skills with demonstrated knowledge and application of: SharePoint; Microsoft Outlook, Word, Excel and PowerPoint; Adobe Pro.
  • Administrative experience working with multiple team members.
  • Experience handling confidential or sensitive information.
  • Experience using Concur for booking travel and submitting expenses is beneficial.
  • Experience using a legal entity and/or matter management system is a plus.
  • Strong communication skills; ability to communicate information clearly, accurately and in a professional manner.
  • Extremely detail-oriented.
  • Strong organizational skills with the ability to prioritize and handle multiple tasks simultaneously.
  • Punctual and demonstrates reliability in attendance and work performance.
  • Ability to work independently with general supervision. Must be proactive, anticipate needs of team members, have good follow through skills and work effectively as a team player.
  • Ability to complete work projects with speed and accuracy, sometimes under pressure of short deadlines.
  • Ability to manage multiple tasks in a fast paced environment.
  • Excellent organizational skills - ability to prioritize daily work flow.
